Getting Started

  1. 1Visit /register and create a workspace with your company name and email.
  2. 2Voul Track starts a 14-day free trial automatically — no card needed.
  3. 3Confirm your TRN (optional but recommended for VAT-ready invoices).
  4. 4Pin /dashboard, /pos, and /reports to your bookmarks.

Creating Workspace

  1. 1After register, you become the owner of a new workspace.
  2. 2Open Settings → Branches and add at least one branch & warehouse.
  3. 3Open Settings → POS counters to register a till per branch.
  4. 4Owners can invite teammates from Settings → Users.

Catalog

Adding Products

  1. 1Go to /products → New product.
  2. 2Fill in name, SKU, barcode, selling price, VAT code, and unit.
  3. 3Set the reorder level — POS will warn when stock falls under.
  4. 4Save. The product is now sellable through POS and invoices.

Importing Products

  1. 1Go to /products → Import.
  2. 2Download the sample CSV and fill rows: SKU, name, price (AED), VAT code.
  3. 3Upload the CSV — the system shows a preview with row-level errors.
  4. 4Click Import to commit. Re-upload as needed for additional fields.

Adding Customers

  1. 1Go to /customers → New customer.
  2. 2Add name, phone, email, and TRN (if business customer).
  3. 3Add a default branch and credit limit if you want aging reports.
  4. 4Save — the customer appears in POS and on invoice forms.

Creating Quotations

  1. 1Go to /quotations → New.
  2. 2Pick the customer, add line items, discounts, and notes.
  3. 3Send the PDF directly to the customer via email or WhatsApp link.
  4. 4When the customer accepts, click Convert to invoice.

Creating Invoices

  1. 1Go to /invoices → New.
  2. 2Choose VAT or non-VAT, pick a customer and branch.
  3. 3Add lines — VAT and totals compute live.
  4. 4Save & issue. Download PDF, email, or send a WhatsApp link.

POS

Using POS

  1. 1Open /pos. The cart sits on the right; product grid on the left.
  2. 2Scan or click products to add. Use the line-discount or cart-discount.
  3. 3Click Pay → split as cash, card, or mixed.
  4. 4A simplified tax invoice prints; the receipt is also previewable.

Opening POS Shift

  1. 1On /pos, click "Open shift". Enter your opening float (cash in drawer).
  2. 2Choose the till and confirm — the shift is now open.
  3. 3Every sale, refund, and cash event is logged against this shift.

Closing POS Shift

  1. 1Click "Close shift" at end of day.
  2. 2Count your drawer — enter denominations or the total.
  3. 3Provide a reason if variance > AED 10. Submit.
  4. 4A Z-report PDF is generated and emailed to owners automatically.

Buy side

Managing Purchases

  1. 1Open /purchase-orders → New PO. Pick a supplier, add expected items.
  2. 2When items arrive, convert the PO to a Bill in /bills.
  3. 3Pay the bill from /banking — full or partial.
  4. 4Inventory and supplier ledger update automatically.

Managing Expenses

  1. 1Petty cash: add expenses on POS via the Expenses panel — they reduce the till.
  2. 2Larger expenses: /expenses → New expense. Pick a category and bank/till.
  3. 3Attach a receipt photo for audit.

Insights

Viewing Reports

  1. 1Open /reports for the catalog of available reports.
  2. 2Daily sales, monthly sales, profit, inventory valuation, branch report.
  3. 3Filter by branch, cashier, and date range.
  4. 4Each report exports to PDF or CSV.

VAT Summary

  1. 1Open /reports → VAT summary.
  2. 2Pick the filing period (monthly or quarterly).
  3. 3Output VAT, input VAT, and net VAT payable are computed.
  4. 4Export as PDF for your accountant or filing portal.

Admin

Managing Users & Permissions

  1. 1Open Settings → Users → Invite.
  2. 2Pick a role: Owner, Manager, Cashier, Accountant, etc.
  3. 3Override individual permissions if needed (e.g. allow discount > 10%).
  4. 4Audit logs surface every privileged action with the user and reason.

Account

Subscription & Support

  1. 1Trial activates automatically on register. 14 days, full access.
  2. 2When the trial ends, message us on WhatsApp to activate monthly or yearly.
  3. 3For help, use the WhatsApp button in the corner — same-day response.
